Terms & Conditions

These Terms & Conditions govern the use of services provided by Nippon Imperial. By making a booking, submitting a reservation request, or using our services, you agree to be bound by these Terms & Conditions.

1. Services

Experiences

Nippon Imperial provides private, premium travel services including, but not limited to:

  • Private day tours.
  • Airport transfers.
  • Point-to-point (A-to-B) transfers.
  • Chauffeur services (hourly or daily).
  • Bespoke travel experiences.
  • Custom multi-day itineraries.

All services are provided on a private basis and are subject to availability and confirmation.

2. Bookings & Payments

Payments

All bookings must be confirmed in advance. Prices, inclusions, and service details are specified on individual service pages, quotations, or confirmed itineraries.

Payments are processed securely through approved third-party payment providers, including Stripe. Nippon Imperial does not store or process credit card information directly.

A booking is considered confirmed once payment (or deposit, where applicable) has been successfully processed and confirmation has been issued.

3. Cancellation & Refund Policy

Policy

3.1 General Rules

All cancellations must be submitted in writing by email during our business hours.

Business Hours: 9:00 a.m. – 6:00 p.m. (Japan Standard Time, GMT+9).

Cancellations requested outside business hours will be deemed received on the next business day. The effective date of cancellation is the date on which Nippon Imperial receives written notice, based on Japan Standard Time. Guests are responsible for taking time differences into account.

3.2 Private Services & Bespoke Experiences

This category includes, but is not limited to:

  • Private day tours.
  • Airport transfers.
  • Point-to-point (A-to-B) transfers.
  • Hourly or daily chauffeur services.
  • Custom single-day experiences.

For these services, the following cancellation fees apply:

  • 8–30 days before the service date: A cancellation fee of 50% of the total estimated amount will apply. The remaining 50% will be refunded.
  • 4–7 days before the service date: A cancellation fee of 75% of the total estimated amount will apply. The remaining 25% will be refunded.
  • 3 days or less before the service date, same-day cancellation, or no-show: A cancellation fee of 100% of the total estimated amount will apply. No refund will be issued.

All fees are calculated based on the total estimated service value.

3.3 Full Itineraries (Multi-Day Programs)

This category applies to custom itineraries involving multiple days and bundled services. Cancellation fees are as follows:

  • 15–30 days before the start date: A cancellation fee of 50% of the total estimated amount will apply. The remaining 50% will be refunded.
  • 8–14 days before the start date: A cancellation fee of 75% of the total estimated amount will apply. The remaining 25% will be refunded.
  • 7 days or less before the start date, same-day cancellation, or no-show: A cancellation fee of 100% of the total estimated amount will apply. No refund will be issued.

3.4 Non-Refundable Items

Certain third-party costs, including but not limited to accommodations, tickets, reservations, special arrangements, or pre-purchased services, may be non-refundable regardless of cancellation timing.

4. Service Adjustments & Force Majeure

Itineraries

Nippon Imperial reserves the right to modify, reschedule, or cancel services due to circumstances beyond reasonable control, including but not limited to weather conditions, traffic disruptions, government restrictions, natural disasters, or safety considerations.

Where applicable, reasonable alternatives or refunds may be offered at our discretion.

5. Guest Responsibilities

Guests

Guests are responsible for:

  • Arriving on time at designated meeting points.
  • Providing accurate booking, contact, and travel information.
  • Complying with local laws, regulations, and customs.

Failure to meet these responsibilities may result in service modification or cancellation without refund.

6. Liability

Limitations

Nippon Imperial acts as a service provider and coordinator. While great care is taken in selecting partners and providers, Nippon Imperial is not liable for losses, delays, injuries, or damages caused by third parties or events beyond reasonable control.

To the maximum extent permitted by law, Nippon Imperial’s liability is limited to the amount paid for the relevant service.

7. Governing Law & Jurisdiction

Jurisdiction

These Terms & Conditions are governed by and construed in accordance with the laws of Japan.

Any disputes arising in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Japan.
